Having joined Hubbub, they have sent me an application form for a free fridge and freezer so I will send off for it, of course - and see what comes!
Kath and I have been looking into insurance, and Zurich had a questionnaire to fill in. When I mentioned that we were expecting to have a couple of adults with LD as volunteers, they sent a big questionnaire all about safeguarding. I am now talking to PAVS about what we need to put in place.
We will need a safeguarding officer, would anyone like to do this?
I will send our membership form to Hubbub so we can go ahead with buying a fridge and freezer for the community fridge asap.
They are happy for people to poke their nose in to have a look - they are there most days at the moment doing it up.
Marty has been to see it with me to help decide what we need.

Michelle is working on a facebook page I think. We definitely want an official opening, we need to know the date first I suppose, when lockdown will end... but certainly then...
How about an official opening? That would get the press on board? Is there a Facebook page?
I'm going to pop down to the cafe/ church on Frog St today and check that they are ok if we all pop in and have a look when we can - he did say he was there pretty much every day so it shouldn't be a problem.
In my chat with Sinead on Friday, she was surprised we had even been encouraged to apply for a unit in the indoor market as as far as she is aware they are standing by their idea of commercial groups only and have had several enquiries. She felt our chances were miniscule, and was very excited about the possibility of us opening in the same venue as PATCH.
I think, much as it isn't ideal, it is probably the best offer we are going to get, especially for free!

The church down on frog st is happy for us to have a corner of their café. The cafe is going to be free, just give a donation, so people can come and go to the fridge without feeling like they should buy something, or stop for a coffee and a chat while they're there. And it's safe but still close to town and patch has a room to put anything we get more suited to them. And they said if we had things left that needed to be chucked they would try to use them for soup or something...
Whilst I agree with Kath’s concerns regarding the church not being in as good a location as the indoor market, I am in favour of trying things out there. The people running PATCH there are very friendly and it is going to be lovely inside ( I haven’t seen it for a few months and it was in a state of renovation when I visited in c Nov) Its a great space and when it gets going as a cafe it will draw people down the street. We would have to ‘advertise’/publicise more there perhaps to get people in in the first place. The issues with the Indoor market are indeed likely to drag on for some time.
As the town and county council are still in negotiations about the market I think it will be a long wait. It is only open for patch at the moment as we are in lockdown, it will be open every day after that. They are very keen to be part of the community and were thinking of setting up a community fridge themselves so very glad to collaborate with us to do it. I think we will also be welcomed there rather than the market traders being in two minds about us. The only downside is that it is a church but as long as they don't push it, I think we will be able to convince people to go there.

1 Name
The name of the organisation is ……Tenby Connects…………….
2 Aims
1. To run projects with the aim of increasing the ???
3 Powers
In order to carry out the aims the Committee has the power to: -
(1) raise funds, receive grants and donations
(2) buy or sell property, take on leases and employ staff
(3) co-operate with and support other groups with similar aims
(4) do anything else within the law which is necessary to achieve the aims
4 Membership
Membership shall be open to all people aged 18 or over, without discrimination, who are interested in furthering the work of the organisation. Membership is open to individuals and organisations. People who wish to become a member should apply to the Committee. The Secretary will keep an up to date list of all members’ names and addresses.
5 The Committee
The committee shall comprise of not fewer than 3 nor more than 10 committee members, appointed or elected at the Annual General Meeting, including the Officers of:
Chairperson,
Secretary,
Treasurer.
6 Appointment and retirement of committee members
All committee members shall retire at the AGM but may be nominated and re-elected for a further term.
During the year the Committee may appoint up to 3 extra members on to the committee who stand down at the next AGM but are eligible for re-election.
7 Committee members' interests
No voting member of the committee shall receive any payment (over and above the reimbursement of out-of-pocket expenses) or have an interest in any contract or service entered into by the committee, or have any interest in any property belonging to the organisation.
8 Finances and accounts
The organisation shall operate a bank account in the name of the organisation and all income of the organisation shall be paid in to the account.
Funds and property must only be used for the aims of the group.
All cheques drawn on the bank account shall require the signatures of two out of the three officers (chairperson, secretary and the treasurer) and are unrelated.
The treasurer shall be responsible for maintaining records of income and expenditure, which may be viewed by any member on request, and for preparing and presenting financial reports and the annual statement of accounts.
9 Committee meetings
The committee shall hold at least 3 meetings in each year. All committee members shall be entitled to receive reasonable period of notice for all meetings.
There shall be a quorum when not less than 3 voting members are present at a meeting.
Every member has one vote and decisions made shall be determined by a simple majority of those present and voting. If there is an equality of votes, the member chairing the meeting shall have the casting vote.
The committee may appoint sub-committees to carry out any tasks which it thinks appropriate to do so, provided that all acts carried out by the sub-committees are reported promptly and fully to the committee.
The committee may make reasonable additional rules for the proper conduct and management of the group. These rules must not conflict with this constitution or the law.
Minutes shall be kept of the proceedings of all committee and sub-committee meetings, and shall include the date of the meeting, the names of those present and a record of the decisions taken.
10 General Meetings – Special, Emergency, Inaugural or Annual
The committee may call a general meeting of the organisation at any time, and shall do so if requested in writing by not fewer than 50% of the members of the organisations, stating the business to be considered.
At least 14 days notice of special general meetings shall be given to all members of the organisation, stating the business to be discussed.
11 Annual General Meetings
The organisation shall hold an Annual General Meeting in May of each year or as soon as possible afterwards. At least 14 days notice will be given of Annual General Meetings. The notice must contain details of the agenda and the time, date and place of the meeting. The committee shall present the annual report and accounts.
12 Alterations to the Constitution
Subject to the restrictions listed below, the constitution may be altered by a resolution passed by not less than two thirds of the members present and eligible to vote at a general meeting. The notice of the general meeting must include notice of the resolution, setting out the terms of the alteration proposed.
No amendment may be made to the committee member’s interests or this clause.
13 Winding up the organisation
The organisation may be dissolved by a resolution passed by a majority of not less than two thirds of those present and eligible to vote in favour. This should be done at a properly convened general meeting of the members of the organisation. The notice of the general meeting shall state the purpose of the meeting.

Hi everyone.
We have the online training arranged for the level 2 essential food hygiene course. Anyone who is able to do at least one shift either opening or closing the community fridge ( when we have one!) can do this course. Just let me know and I will pass your email on to Marty. We are doing it with Sarah Safety as she has made videos of herself as if she was doing it face to face, so this is the best we can do at the moment. We will do face to face training when we can, and Marty will do an induction video when we have a location to do it in!
Sorry guys, so much for the joys of technology... let's hope it works better next time,,, or at least that I don't manage to lock myself out off my co-op account just as the meeting is supposed to begin!
Kath is going ahead with applying for the indoor market unit, Fern is in touch with the council about registering as a food business, and has offered to co-ordinate our social media presence. Hannah is going to liaise with schools both for possible student volunteers, and to make sure the whole school community is aware of the fridge. We discussed the possibility of having a webcam so people can see what is there for them to come and pick up. Also getting people t take photos to post on social media whenever they do a shift. We also talked about having a mailing list, maybe on mailchimp, and sending out a monthly email newsletter.
Marty is busy organising the training for Essential Food Hygiene for the volunteers, and a short induction.
