In the beginning, it will require 15-20 hours a week to get the administrative stuff in place, get volunteers and advertise, depending on how structured you are.Thereafter, each start of the season requires approx. the same, but otherwise it is approx. 3 hours per week during the active seasons.


In order to be prepared to start an association in Coding Pirates, each individual inquiry is followed from the first inquiry to start-up. Among other things, an assessment of the initiators' commitment and ability to establish a sustainable local association .

Here, the initiator's ideas, local area, special conditions, association experience and exchange of ideas etc. are included

There must be at least one or two local zealots who will be willing to take the reins. The person should ideally either have established a small group around them, have a collaboration with some institutions or have found premises. Experience shows that there must be at least three members of the board and five volunteers in the association. It is a necessary setup to move forward.

Coding Pirates provides templates and offers information sessions to get you started, both online and in person.

Information meeting
After this, it is a good idea to hold an internal information meeting with as many people from the initiative group as possible. At the meeting, a representative from Coding Pirates Denmark reviews the following:

  1. Coding Pirates' history, vision and terms
  2. Explanation of association structures and DUF (Danish Youth Council) and role distribution between Coding Pirates Denmark and the local association
  3. Review of association formation and statutes
  4. Review of association platforms and communication channels
  5. Review of club activities and club evenings, e.g. content and setup
  6. Description of volunteers: Standardization, workload, network across the country, etc.

After these points, there must be plenty of time to be able to ask questions, participate in local deliberations, and often there is also a lot of talk about pedagogy and cooperation with the parents. Coding Pirates Denmark's participation is to create fertile ground for a good start and to answer questions.


When the local association is ready to be founded, Coding Pirates Denmark helps review the statutes and procedures for founding the association. The representative may participate in an open information meeting and founding general meeting as a presenter on Coding Pirates and as conductor for the general meeting.

Coding Pirates Denmark must formally approve the founded association. This happens at the main board meetings, which are held on the first Thursday of the month.

Therefore, it is usually the case that the main association receives a draft of the new association statutes for review, so that corrections can be implemented before the founding general meeting.


General Assembly

Once the association has been pre-approved, it is time to convene the founding general meeting.

As soon as possible after the general meeting, the following documents are submitted to Coding Pirates Denmark:

  1. Current articles of association (signed by everyone on the board)
  2. Minutes from the founding general meeting (remember the signatures of everyone on the board including the conductor and chairman)
  3. Contact information for chairman, treasurer and department captain
  4. All documents are submitted to the Secretariat at [email protected] .

    The association is then formally approved as part of Coding Pirates Denmark.


Choose the appropriate channels to communicate about the upcoming Coding Pirates club.
Focus on the local community, as most children will come from the local area.
Target group: parents, young people.
Arrange an open house event for interested parents, local administration, politicians, press
Inform about the launch date.
Contact CP for branding guidelines.


Invite all children and their parents to your first club evening or today's event.
Inform about place, time and send all necessary practical information.
Organize catering for everyone. Remember to ask about allergies.

Organize a meeting with your volunteers in advance and plan the club night's activities. Inform them about the registered children, their ages, etc.
Remind everyone about the Child Protection Policy.
Make sure you have the necessary materials for your first workshop.
Test your equipment as needed.
Remember to test access to WIFI.
